If you read our previous post, then you know how important we feel it is to have a simple, stress-free system that allows you to keep on top of your inbox, get control of your calendar, organize your digital files, and manage your miscellaneous notes, tasks, and conversations.
Well, at Calm Wind Solutions, we have developed a system that allows you to do just that. We call it the DoCKK system. It is a simple, all encompassing system that allows you to manage your work in a clear, stress-free way while adapting to the different workspace tool you’re using.
The DoCKK system derives from the two main categories for thinking about your digital work “stuff” that we talked about in the previous post. These two categories are responsibilities, or things you have to do or take care of, and references, or things you have to know or keep.
With responsibilities, there are things you have to do – such as tasks or duties that make up most of your job. These are the things that fall directly under your job description. If you are the HR manager, for example, this might include things related to posting open positions, setting up interviews, drafting and sending offer letters, onboarding new employees, etc.
But also included in your responsibilities are things you either want to or have to care for and about. Not every responsibility comes with clear instructions or guidelines. Sometimes you’re responsible for developing or managing things that aren’t clearly outlined in your job description – ideas for new products or programs, innovative solutions to emerging problems in your organization, plans for taking advantage of new opportunities that arise in the market.
On the references side, as I said before, there are things that are useful or necessary for you to know – tools, methods, systems, processes that can you help you perform your work better. And then there are things that are important or useful for you to keep – just in case. These might be archived projects, an office policy, a finance procedure, tax information, etc.
So there you have it: Do, Care, Know, and Keep. This makes up the crux of the DoCKK system and can be used in all the digital workspace tools: email, file drive, calendar, notes app, task manager. Every item in these respective tools can be managed using this framework.
As you try to develop your own stress-free digital workspace, think about using this framework to organize your digital stuff. Ask yourself: Is this item [e.g. email, file, note, task, etc.] related to something I have to do, something I have to care for or about, something to know, or something to keep?
Asking yourself this question often will it make it much easier for you to decide what to do with that item so that you can manage your work much more effectively.
